For file naming, use a consistent format. I recommend: AuthorLastName_Year_ShortTitle.pdf
So instead of “1-s2.0-S0747563217306854-main.pdf” (a real Elsevier download name), you get “Chen_2024_ScreenTimeAnxiety.pdf.” When you are looking for that paper three weeks from now, you will thank yourself.
Citation Managers: Zotero, Mendeley, and EndNote

Organizing files is only half the battle. You also need to organize what you learn from each paper. That means annotating as you read, not after.
Here is a simple color-coding system you can use in any PDF reader (Adobe Acrobat, Zotero's built-in reader, or even Preview on Mac):
- Yellow highlight: Key findings and main arguments
- Green highlight: Methodology details you might reference
- Blue highlight: Definitions and theoretical frameworks
- Red highlight: Limitations, contradictions, or points you disagree with
More important than the highlights themselves are the sticky notes you add. Every time you highlight something, add a brief note explaining why it matters. “Good definition of X” or “Contradicts Smith 2023 on sample size effects” or “Use this in my methodology justification.”

A source matrix is the single most underused tool in academic research. It is a table where each row is a source and each column captures a specific piece of information. You can build this in a spreadsheet (Google Sheets or Excel) or in a tool like Notion. The specific columns will depend on your project, but the basics are always the same: who wrote it, what they did, what they found, and where it fits in your review.
The “Theme” column is the most important one. As you fill it in, you will naturally start to see clusters emerge. Those clusters become the sections of your literature review. If you have 8 papers tagged “Productivity” and 5 tagged “Well-being,” you already know two of your thematic sections.

Digital vs Physical Organization
Some students still prefer printing papers and using physical folders, sticky tabs, and handwritten notes. That approach works, but it does not scale. If you are working with fewer than 15 sources for a course paper, printing and annotating by hand is perfectly fine. The tactile experience can actually improve retention and comprehension.
Once you cross 20 sources, though, digital is the only practical option. You cannot Ctrl+F a stack of printed papers. Here is a practical test: if the last three papers you read added no new themes, no new methods, and no new findings to your source matrix, you have reached saturation. You have enough sources. It is time to write.

2,000 – 4,000 words
8 – 15 sources
Master's thesis
5,000 – 10,000 words
20 – 40 sources
PhD dissertation
10,000 – 20,000+ words
50 – 100+ sources
These are guidelines, not rules. The right number depends on your field, your research question, and what your supervisor expects. But if you are within these ranges and your source matrix is filled in, you are ready to start writing.
One more tip: you can always add sources later. It is much better to start writing with 25 well-organized sources than to keep collecting until you have 60 sources and zero written paragraphs. The writing process itself will reveal gaps in your reading, and you can fill those gaps with targeted searches as you go.
